Privacy policy
Effective date: July 31, 2026
This policy explains what personal information this website collects, why, and what happens to it. It is written to be read, not skimmed past.
What I collect
When you submit a form on this site (the contact form or a booking form), I collect what you type: your name, your business name, your email address, your phone number if you provide it, your message, and your answers to the three booking questions about your business (how many people work in it, roughly what it spends on software each month, and when you would want to act). If you call (705) 999-5889, our AI answering service may record and transcribe the call to help me follow up. If you book using the calendar embedded on this site, Cal.com (see below) collects your name and email address directly.
That is it. There are no accounts, no payment processing, and no tracking pixels on this site.
Why I collect it
One reason: so I can respond to you about the enquiry you sent. I use your contact details to reply, to schedule the assessment you asked about, and to follow up on that conversation. The booking answers help me show up prepared.
I do not sell, rent, or share your information with anyone for marketing. I do not add you to a mailing list you did not ask for. Any commercial email I send complies with Canada's Anti-Spam Legislation (CASL) and will always include a working unsubscribe.
Where it goes
When you submit a form, your information is handled by a small set of service providers that make this website work:
- Vercel hosts the website and processes the form submission.
- Resend delivers the enquiry to my inbox by email, and sends you a single instant confirmation of your enquiry if you provide an email address.
- Twenty CRM, self-hosted on Canadian infrastructure I control, stores the enquiry so I do not lose track of your conversation.
- Retell AI answers calls to (705) 999-5889 and may record and transcribe them so I can follow up on what was discussed.
- Cal.com powers the "Pick a time" calendar embedded on this site. When you book, Cal.com collects your name and email address directly. It does not pass through this site's own form handler.
A note on where your information goes. Vercel, Resend, Retell AI, and Cal.com are all US companies. When you submit a form, call (705) 999-5889, or book a time through the calendar embedded on this site, your information is processed by them and may be stored on servers outside Canada, which means it is subject to the laws of that country, including the possibility of access by its authorities. Twenty CRM, the system where your enquiry actually lives once received, runs on infrastructure Chris controls in Canada. That is the copy I control and the one I delete on request, along with my inbox copy; short-lived copies in the providers' own delivery, call, and booking logs expire on their schedules, not mine. I use US-based providers for the parts of the site that need to be fast and reliable; I am telling you exactly where things sit rather than leaving it unsaid.
The site also uses a self-hosted analytics tool, running on infrastructure I control, to count page views. It does not identify you personally.
How long I keep it
I keep enquiry records, call transcripts, and booking details while the conversation is live and for a reasonable period afterwards for business records. If you want your information deleted, ask (contact below) and I will delete it from the CRM and my inbox, subject to anything the law requires me to keep.
Your rights
Under Canadian privacy law (PIPEDA) you can ask me at any time:
- what information I hold about you,
- to correct it, or
- to delete it.

Health information (for clinics)
If your business handles personal health information under PHIPA, note that this website is not the place for it: do not include patient information in a form submission. When Headway works with a clinic, data handling is covered by a written agreement before any access happens, including acting as an agent or service provider under PHIPA where that applies.
Changes
If this policy changes, the new version appears here with a new effective date.
